Choosing the right fire safety register for your facility

digital safety register management

Managing an ERP safety register online offers numerous advantages that physical and paper versions of this legal document lack: centralized information sharing, easier scheduling, better contractor tracking, data analysis and utilization (for safety commissions, CMMS, etc.), and the resolution of observations and requirements.

The Deemply solution we offer addresses all these challenges faced by site managers and safety officers. Developed to support and utilize all elements required by law, our online safety register management tool also adapts to the nature and activity of your facility or facilities.

ERP safety registers and legal obligations

Maintaining a safety register in a business is a legal requirement, regardless of the nature of the site or facility.

Public buildings ERP (Établissements Recevant du Public), high-rise buildings (IGH), mid-rise buildings (IMH), and generally all residential buildings are subject to the Construction and Housing Code (CCH). Article R143-44 of the CCH requires that the safety register include, in particular:

  • Details of personnel assigned to fire safety duties
  • Instructions to be followed in the event of a fire
  • Evacuation procedures that account for various types of disabilities
  • Dates of safety inspections and checks
  • Observations and requirements resulting from inspections
  • Information regarding renovation work (date, nature, contractors, etc.)

Workplaces ERT (Établissements Recevant des Travailleurs) are subject to the Labor Code. Articles L4711-1 to L4711-5 of the Labor Code require employers to ensure the maintenance and upkeep of installations, work equipment, and protective gear provided to workers, and to record the resulting documents (certificates, inspection reports, etc.) in a safety register.

Digital ERP safety register: which facilities is it for?

Since maintaining a business safety register is a universal legal obligation, it applies to all types of companies. This involves an extremely wide variety of types (activity and nature of operations) and categories (size, headcount) of sites, which may fall under multiple regulations (Labor Code, CCH, etc.):

  • Retail: shops, shopping centers, supermarkets and hypermarkets
  • Public-facing facilities: banks, public administration, professional offices
  • Tourism facilities: restaurants, hotels, campsites, theme parks
  • Healthcare facilities: hospitals, clinics, nursing homes
  • Cultural facilities: cinemas, museums, theaters, heritage buildings
  • Educational institutions: schools, middle schools, high schools, universities
  • Regulated facilities: ICPE, Seveso-directive sites, ATEX zones
  • Residential buildings: multi-family housing, high-rise buildings, public-access buildings with sleeping quarters

The features and the ability to create multiple digital safety logs allow our online management solution to perfectly adapt to your facilities and your needs:

  • Single log for one site (single-site facility with one building)
  • Multi-log for one site (facility with multiple buildings or annexes)
  • Multi-log for multiple sites (multi-site company, national franchises, local authorities, etc.)

Stakeholders and users of the digital safety log

The management and monitoring of the public-access building safety log for a given facility are the responsibility of several stakeholders:

  • Operators or owners: employers, social landlords, property managers
  • Safety managers: Single Safety Manager (RUS), fire safety department head (SSIAP)

While the benefits of the online safety log (sharing and centralization, collaborative management, etc.) facilitate its supervision, the automation of its management and the resulting data reliability make it a reference document for safety, health, and accessibility stakeholders:

  • Fire Safety and Personal Assistance Service (SSIAP) personnel
  • Fire and Rescue Services (SDIS), planners and firefighters, Prefecture Prevention Service (SPP)
  • Safety commissions (CCDSA, municipal safety commissions, etc.)
  • Occupational health and safety services, health and safety committees, Carsat, OPPBTP
  • Etc.

Designed to optimize the maintenance of your facilities and safety equipment, Deemply's digital registers also streamline inspections and assessments for safety professionals.
