Automate your vendor management

Above all, the safety register must provide evidence of facility safety monitoring and ensure information traceability. Scheduling inspections and managing vendors are major responsibilities for the site manager and/or the safety officer.

Monitoring and traceability of inspections

The monitoring and traceability of inspections, safety assessments, and maintenance operations are the very purpose of the safety register.

The safety register must be presented during periodic inspections or unannounced visits conducted, in particular, by Safety Commissions or in the event of an incident.

In addition to the information mentioned in Article R*123-51 of the CCH, the following must be recorded in the safety register :

  • Inspections and checks of installations and equipment.
  • Dates of visits and names of vendors.
  • Inspection reports.
  • The resulting observations.

Due to its nature, the paper safety register presents both significant physical obstacles and major management constraints. As a physical document, the safety register requires:

  • Travel.
  • Very rigorous monitoring with constant updates, without any task automation.
  • Managing vendors and subcontractors.
  • Scheduling inspection visits and addressing observations.

Online safety register: Coordinate your vendors

The features of an online safety log help optimize the planning and tracking of safety-related actions.

Addressing these challenges is at the very heart of our Deemply solution:

Contractor management :

  • Directory of safety contractors and service providers.
  • Assignment by log.
  • Automated management and strict adherence to deadlines.
  • Interventions verified by electronic signature.
  • Management of contractor contracts.

Proactive scheduling :

  • Automatic scheduling of inspection visits and safety interventions.
  • Customizable automated notifications and reminders for upcoming deadlines and interventions.
  • Alerts for overdue safety interventions.

Intervention summaries :

  • Option to attach documents to an intervention.
  • Tracking of observations and resulting actions.
  • Detailed summary of interventions (PDF export available).

Contractors are notified by email of a scheduled intervention and can upload the relevant report directly to a dedicated platform once their inspection or work is complete. Observations and requirements are displayed and can be processed automatically (intervention requests, internal resolution, etc.).

Among its many features, the solution also lets you bulk import all your observations/prescriptions. This means Deemply lets you coordinate your service providers' interventions with complete peace of mind.

By allowing you to rigorously anticipate and plan your safety maintenance, it grants you a degree of independence and frees you from reliance on contractors. With Deemply, you will no longer depend on your contractors for scheduling and collecting your reports.
