Whenever service providers or other companies work on your premises, whether for maintenance or cleaning purposes, you are obliged to draw up a document defining the rules between you and them. This document is called the prevention plan. To help you create and manage this document, we’ve developed the prevention plan module, with its intuitive features that will simplify your day-to-day work.

On a day-to-day basis, you’ll simplify relations with your service providers and comply with regulations by creating and updating your prevention plans.

In just a few clicks, you’ll be able to create your documents from your web environment or mobile application. The entire risk prevention plan creation process has been designed to be totally intuitive, saving you a lot of time every day.

To simplify the creation of your prevention plans, we’ve provided a number of templates to help you create your prevention plans. These templates are parameterized to save you a lot of time when creating your documents. You can customize the templates by adding, modifying or deleting elements as required. As with all our modules, you’ll be able to create all the accounts you need for your day-to-day operations. For each user, you will be able to parameterize rights by giving the possibility or not to create, modify or delete information.

In your Deemply space, you can create your own company prevention plan templates with information specific to your establishments and needs. By creating your own templates, you’ll be able to save time when drawing up your prevention plans, as all the information will be pre-parameterized. You can arrange the blocks according to your needs and add all the information you wish, without being constrained by the templates we provide.

Once you’ve created your own templates, or are using the templates we provide, you can generate your in-house prevention plans and then fill them in. All the information contained in the templates will be automatically added to your prevention plan. During creation, you can select the site(s) to be associated with, the service provider to be assigned to the company risk prevention plan and, if necessary, add a subcontractor. You will be able to specify validity dates, whether a prior visit is required, user company information and regulatory information for your document.

Intuitive completion and follow-up of prevention plans

To help you fill in all the elements of your prevention plans, and make sure you don’t forget any, we’ve developed several tools that will simplify your day-to-day work.

As soon as you start filling in your prevention plans, you’ll see a completion bar at the top of your screen. This progress bar lets you see where you are in the process of filling in elements, so you don’t miss any information. All added information is saved automatically.

We know that every facility is unique, which is why we’ve provided you with a range of fields that will enable you to create fully customized documents. For the construction of your prevention plans, you will be able to select the following types of response: checkboxes, comments, dates with or without associated time, document addition, hypertext links, drop-down lists, numerical fields, tables, short or long texts. This diversity of elements will enable you to create risk prevention documents perfectly tailored to your needs.

Once you’ve created your prevention plans, it’s essential to keep track of them and make any reminders that may be necessary to ensure that your establishments are compliant. To help you keep track of your prevention and safety documents, we’ve created a color code that’s easy to understand. At a glance, you’ll be able to identify your prevention plans in draft form, those awaiting signature by your service providers, those you need to sign, those in progress, those to come and those that have been archived. You’ll be able to take swift action on the prevention plans that need it, to ensure that your sites are fully compliant.

Active participation of service providers in your company’s prevention plan

We know that effective prevention plans are those in which the user and contractor companies have worked together to build the document. That’s why, from your Deemply environment, you’ll be able to add the elements that concern you, and leave it to your contractor to fill in the elements that concern his information. By co-creating your document, you’ll be ensuring the safety of your facility, and building lasting relationships with all your service providers.

When filling in your prevention plan, you will be able to indicate which elements are to be filled in by your service provider. To do this, as the user of the prevention plan, all you have to do is click on the corresponding button in your document. By ticking the box, your environment will automatically take the information into account and update the fill-in bar. Your service provider, for his part, once you have shared the document with him, will be able to fill in only those elements that are dedicated to him. However, they will be able to consult all the fields you have filled in, so that they can sign the prevention plan with full knowledge of the facts.

To simplify the day-to-day work of your service providers and ensure that your relationship with them lasts, we have developed a dedicated extranet for them. This online space is accessible at no extra cost, and enables them to fill in and sign all the information you send them. Thanks to this sharing of information, all documents are kept up to date and can be sent very simply, without the need for multiple e-mail exchanges.

Your service providers’ daily lives can be just as busy as yours. That’s why we’ve developed a unique feature that allows you to send a reminder to your service provider in just two clicks, asking them to complete or sign your prevention plan. As soon as you click on the button, your service provider (external company) automatically receives an e-mail with the information to be completed. Your service providers are also informed every Monday morning if they are overdue. These reminders mean you don’t have to waste time writing e-mails or leaving messages on answering machines. They will also enable you to focus on the important elements rather than on administrative management.

Draw up a prevention plan in complete mobility with your stakeholders

Mobility is the key to safety, which is why we have developed two mobile applications. The first is dedicated to you as an operator, and the second is designed for your service providers. Each will enable you to create, consult and sign your prevention plans.

From your application and the prevention plan module, you can create your own documents, provided your template is already set up in your web environment. In just a few clicks, you can choose your sites, and enter all the elements specific to the document, such as the model, the associated service provider and validity dates. Once a prevention plan has been created from the application or web environment, you can use your smartphone to enter, modify, share, duplicate, sign or generate the document. This mobility means you can work on your prevention plans on site, or wherever you like, without having to use a computer.

To help your service providers save time, we’ve developed a mobile application that lets them sign their prevention plans. All they have to do is scan the QR code displayed on their screen and sign. By using the mobile application dedicated to them, they save a lot of time and simplify their exchanges with you by keeping their documents up to date. They can also ensure their own safety and that of their team, as they know in advance the safety information to be respected during their visit, and can take action if necessary.

To create and complete your document, you have two options. Firstly, you can choose to use your web-based Deemply ecosystem to carry out all the actions associated with your prevention plan. It’s from this environment that you’ll be able to create your templates, which will subsequently save you a lot of time when creating your prevention plans. Can’t access a computer? We’ve thought of everything at Deemply, and we’ve developed a mobile application that lets you create, complete and sign all your prevention plans in total mobility.

Yes, this is where the power of a digital prevention plan lies. Thanks to Deemply, you’ll no longer have to print out documents or send them by e-mail for your service provider to fill in and sign. In just two clicks, you’ll be able to share the document with them, and they’ll be able to fill it in. To make things easier for everyone, we give you the option of telling your service provider what information he needs to fill in. Once all the information is 100% complete, all that’s left for him to do is sign the prevention plan remotely using his smartphone on his mobile application or dedicated extranet.

Yes, you and your service provider are kept informed of the progress of your prevention plan. On your side, depending on your settings, you can be informed on your web environment and on your mobile application of the various actions carried out on your document. Your service provider, for his part, is informed by e-mail of the tasks he has to carry out on your prevention plan.

By grouping all jobs together in this area, you can filter them according to the module concerned, the service provider or its status. The colour-coded filters make it easy to see which jobs require action on your part.

To keep track of all your equipment, we’ve created a dedicated function. By registering each item of equipment, you’ll be able to monitor the work carried out on each piece of equipment and make sure you never miss a check on your installations.

To enable you to have more serene exchanges with your service providers, we allow you to group them together in a single environment and make all your requests directly from your Deemply space without having to multiply exchanges by email or telephone. You can also manage all your contracts and set up alerts so that you don’t forget about renewals, for example.

All your facilities’ activities can be integrated into your Deemply solution. They will allow you to segment your interventions and filter the information to find the elements easily.

Don’t use multiple channels to communicate with your teams. Directly in your Deemply environment, you can create conversations with your employees. This secure location allows you to discuss the security of your buildings with people using the solution.
