Whenever a problem is detected in your building, such as a broken door, burnt-out light bulb or blocked toilet, it’s essential to report the malfunction to ensure everyone’s safety. With Deemply, in just a few clicks you can report the problem and act quickly.

You can give access to all your employees so that they can report any malfunctions they notice in your buildings from their smartphones. For example, one morning, one of your employees notices a broken door in the lobby. They can use their phone and the Deemply application to report the broken door, adding a photo if they wish. The information is automatically taken into account in your solution, so you can take action and ask your technical team or one of your service providers to intervene to repair the malfunction.

For each anomaly you declare, you can create a maintenance task to resolve the problem. In the details of this maintenance intervention, you can ask one of your employees or one of your service providers to carry out the repairs required to resolve the anomaly. You can also manage standard interventions, excluding those dedicated to the safety register, from the building management module. You can, for example, manage interventions linked to your green spaces or boiler maintenance. This centralized approach gives you the peace of mind to manage all your building operations.

A visual impact is the best way to know whether you need to take action or not. As with the rest of your Deemply environment, you’ll find an intuitive color code in your interventions, enabling you to see at a glance the status of your anomalies. You’ll be able to determine which anomalies have been reported and require action on your part.

Smoother relations with your service providers thanks to the work and intervention management module

We know that dealing with your service providers can sometimes be complicated. E-mails can go unanswered when you need an urgent intervention from your partner. Requests for quotes and interventions are also simplified thanks to the shortcuts we’ve developed in your Deemply environment.

Every Monday morning at 10am, an automatic reminder is sent out to your service providers who have overdue actions in your establishments. This reminder is sent by e-mail, informing them of the actions they are overdue for or which will arrive within 30 days. Thanks to this automated reminder, you no longer have to waste time asking your service providers to intervene or submit their reports.

In your Deemply environment, you may have several service providers available for a given job. To help you choose the right one and study the costs involved, we’ve made it possible for you to request a quote in just one click. You can request quotes from several service providers for the same job. When you receive the quotes, you can compare prices and choose the service provider with the best value for money. Once you’ve validated a quote, an intervention will be automatically generated to carry out the work.

Requests for intervention by e-mail can sometimes go unanswered by your service providers. To avoid tedious exchanges by e-mail or telephone, you can ask your service provider to intervene directly from your Deemply account. With the click of a button, you can inform your service provider of the problem to be addressed and the maximum date by which the work must be completed. He can then accept your request, and an intervention will automatically be created. Or refuse, in which case you can ask another service provider to intervene.

Intervention management: time-saving synthesis

When there’s a lot of information in a facility, we know that it’s sometimes difficult to see clearly, and that certain elements can be overlooked when they shouldn’t be. To make sure you don’t forget, we’ve put together an overview of your building management.

In your Deemply space, you can download your building management summary in just two clicks. The downloaded document is a fully clickable PDF, giving you easy access to the information. At a glance, you’ll be able to see the status of your sites and, if necessary, quickly take action to resolve any anomalies in your buildings.

In your summary, you’ll be able to find all the general information about your plant, including site documents, operator information, etc. You will also be able to find all information relating to interventions, classified by status. Your service providers’ reports will be integrated into your summary for easy consultation, as will contracts and all declared anomalies. When generating your summary, you will be able to choose which information you wish to include in your summary, so as not to be polluted by information that is not relevant to you.

Thanks to the building management summary, you can easily share information with all those involved in your facilities. For example, you can send a complete summary to managers, and more concise summaries to other members of your teams who don’t need access to all the information. The summary can also be used to send information to people who do not have access to your Deemply space, but who need to consult the information for various reasons.

Simplified monitoring of work and interventions

Managing construction work, whether for renovation or construction projects, can quickly become a complicated day-to-day task. To simplify your day-to-day work and track progress step by step, we’ve added the ability to record your work to your Deemply environment.

To help you keep track of your maintenance work and interventions, we provide you with various templates that enable you to record all the information related to your work, as well as its description. You can also create your own job templates. By using the templates feature, you’ll save a lot of time in managing your work.

To simplify your daily routine, we offer you the possibility of filling in all your CERFAs directly in your Deemply environment. Once you’ve filled in all the elements, you can download them, sign them and send them to the appropriate authorities. If you fill in several CERFAs, you can download all the documents in a single summary. By grouping your CERFAs, you’ll be able to simplify the completion and follow-up of these often tedious documents.

From your Deemply space, you have access to various filters that allow you to see the status of your work. You can choose to display all your jobs, those in draft to work on their description, those in progress to consult the status, those to come and finally those archived to search for information or simply consult the elements.

Yes, you can create as many users as you like in your Deemply solution. By creating accounts for your teams, you give them the opportunity to report any anomalies they observe directly from their smartphone or from the online space. When you create accounts for your users, you can set their rights to 100%, which means you can give one user only the ability to declare anomalies, and another all the rights to manage them, as well as modify and delete them if necessary. Your entire Deemply environment is 100% customizable, giving you a tool that’s perfectly adapted to your needs and day-to-day operations.

Yes, when creating the list of your service providers in your Deemply solution, you can indicate whether they are internal to your facility. By checking the corresponding box, you can create all your building’s technical teams. When you go on to process your anomalies and create an intervention to resolve the problem, you will be able to select from your database of service providers the member of your team who is to intervene. Once your solution has been set up, you can manage your daily interventions with internal or external service providers. In all cases, your service providers will be informed that they need to intervene, and will be able to sign off on the intervention from their own application or dedicated area.

Yes, as soon as you make a request to your service providers, they are notified by e-mail that they need to carry out an action. This notification is automatically generated for quote or intervention requests, and a reminder is automatically sent if they don’t respond to your request. From your Deemply space, you can also use a button to send a reminder to your service provider. With a single click, you can choose which of your service provider’s contacts should receive the reminder and send it without having to leave your environment or write an e-mail.

You can create as many sites as you need in your Deemply space. In this function, you can download the QR codes for your service providers and your sites, as well as all the summaries available.

By grouping all jobs together in this area, you can filter them according to the module concerned, the service provider or its status. The colour-coded filters make it easy to see which jobs require action on your part.

To keep track of all your equipment, we’ve created a dedicated function. By registering each item of equipment, you’ll be able to monitor the work carried out on each piece of equipment and make sure you never miss a check on your installations.

To enable you to have more serene exchanges with your service providers, we allow you to group them together in a single environment and make all your requests directly from your Deemply space without having to multiply exchanges by email or telephone. You can also manage all your contracts and set up alerts so that you don’t forget about renewals, for example.

All your facilities’ activities can be integrated into your Deemply solution. They will allow you to segment your interventions and filter the information to find the elements easily.
