An easy-to-create public accessibility register

Creating an accessibility register is often tedious and time-consuming for those responsible for these documents. To simplify their day-to-day work, we have developed a number of features to support them.

As soon as you sign up for a license to the accessibility register module, we provide you and your teams with various accessibility register templates. These templates will save you time on a daily basis, as they are built around the main information in the accessibility registers, and can be modified and completed by you to reflect your buildings perfectly. By creating accounts for your Deemply users, you can set up those who will be able to modify the templates by adding or deleting information.

In your public accessibility register template settings, you can create your own templates to create a document that is 100% correlated with your buildings. By creating your own templates, you can fill in all the information contained in your paper public accessibility register, and arrange the blocks and elements as you wish.

Whether you use our templates or your own, you can create your accessibility registers in just two clicks. All the information you create in your own templates, or that contained in our templates, is automatically taken into account when creating your accessibility register. All you have to do is select the site to be covered by the document, add the nature of your activity and fill in the following information: whether a programmed accessibility schedule has been drawn up, whether your building has several levels, and lastly, the details of the person responsible for site accessibility.

Intuitive completion of the accessibility register

Filling in the form is an essential step in guaranteeing the conformity of the public accessibility register made available to visitors. Because paper registers are prone to omissions and errors, we have created unique features to help you fill in your dematerialized accessibility registers.

As soon as you add items to your online accessibility register, you’ll see a progress bar that fills up as you enter information. This progress bar shows you how far along you are in completing your document. For each answer you need to fill in, you’ll see a checkmark in the top right-hand corner of your screen, so you can see whether or not the answer has been added. The color code is very simple: as soon as it is gray, it means that no information has been entered, and it turns green as soon as it has. Recording is automatic, so you don’t lose the information you add as you fill it in.

When you create your accessibility register templates, you’ll be able to select various types of response: checkboxes, comments, date fields with or without time, add documents, hyperlinks, drop-down lists, numerical responses, tables and short or long texts. These fields will then enable you to easily fill in the elements of your public accessibility registers. By setting up your templates from the outset, you’ll save a lot of time when filling in the information, as all the elements present will be relevant and easy to fill in.

In your accessibility registers, you may have elements that are not dedicated to your visitors. This information, intended for the competent authorities in the event of inspections, can be extracted from the public accessibility register. To make available only those elements that you feel are relevant to your public, simply tick the information to be displayed when filling in your accessibility register. You will then be able to generate a public summary that will group together all the items you have ticked for visitors, and a private summary that will centralize all the information, whether or not it has been ticked.

Simplified accessibility register available to the public

The accessibility register must be available for consultation by visitors, and people with disabilities must be able to access information about the facilities and services available on the premises. To simplify the availability of this document, we have developed several functionalities.

Once you’ve filled in all the details of your establishment’s accessibility register, you can download a QR code for each site from your Deemply environment. This will enable your public to flash it and access all the information in your accessibility register. It is automatically displayed on your visitor’s smartphone. They can consult it independently, without having to wait for your reception staff. What’s more, this accessibility guarantees that the document is always available. Paper accessibility registers are often either inaccessible or lost, making it difficult for people with disabilities to visit.

If you wish, you can also provide your visitors with a paper PRM accessibility register, which can be consulted at your establishment’s reception desk, for example. Thanks to the easy download of the various summaries available in your Deemply space, you can download and print the paper register in just two clicks. If you want to go even further, and take an ecological approach, you can also download the summary and make it available to your visitors via a tablet, for example. By limiting the number of printouts, you’ll save resources, as you’ll be able to update the file without wasting paper each time it’s needed.

With our digital accessibility register and QR code, you can make your document available to your visitors before they arrive on site. You can either integrate the PDF summary directly into your website, or post the QR code online. By enabling your visitors with disabilities to anticipate their visit to your buildings, you simplify their day-to-day lives, as they can prepare themselves with peace of mind, aware of the facilities available to them. You’re also boosting their sense of trust in you, as they won’t be in any difficulty on the day of their visit.

Creation and follow-up of interventions

As with other modules in the Deemply solution, you may need to create interventions to manage various elements of your public accessibility register. By controlling your interventions from within your environment, you’ll save time and optimize their management.

In just a few clicks, you’ll be able to create your interventions to manage your various equipment. When creating your interventions, you can select the type of intervention, the start date and the end date. You can also select the service provider who will carry out the work in your building. If you wish, you can define a frequency, enabling you, for example, to schedule the inspection of your elevators with devices for the disabled. By centralizing all your interventions in your Deemply space, you’ll have a clear view of everything.

As soon as you create and set up your interventions in your Deemply space, you benefit from all the filters we have developed. You can view your jobs according to their status: overdue, in progress, closed with missing report, closed or coming soon. Each category is clearly color-coded, so you can see the status of your job at a glance. Depending on its status, and if necessary, you can send a reminder to your service provider thanks to a unique feature that lets you generate a reminder e-mail without having to exit your Deemply solution.

As with all modules in the Deemply solution, when your service providers have an action to carry out, they benefit from two dedicated environments: an online extranet and a mobile application. From their application, they will be able to sign off on the interventions to which they are assigned once the work has been completed. This is done without having to ask you to sign the work order. This autonomy saves you a lot of time, and them too, as they no longer have to waste time searching the premises for the person responsible for signing. By signing the intervention autonomously, they can file the report directly or add it from their extranet. Once this has been done, the intervention is automatically closed and the elements are up to date in your solution.

All your questions about Deemply’s accessibility register

The accessibility register is an official document that enables visitors with disabilities to consult the means of access and facilities that have been installed on your premises.

As soon as you receive the public in your establishment, you are obliged to keep an accessibility register. You must be able to present it to the competent authorities in the event of an inspection, and you must make it available to all your visitors. This obligation is part of the February 11, 2005 law on equal rights and opportunities, participation and citizenship for disabled people.

From your Deemply space, you’ll have access to all the solution’s features, enabling you to build your templates and public accessibility registers intuitively. Once your templates have been created, all you have to do is generate your digital accessibility registers and fill them in. All the functions we have developed in our solution make it very easy for you to create your regulatory documents.

There are three ways to make your register accessible:

  • As a first step, you can download a QR code containing your accessibility register and display it at the entrance to your building.
  • You can also download your register, print it out and make it available to your visitors at the reception desk. To save resources, you can choose to make the PDF available on a tablet accessible at the same reception point.
  • The last option is to integrate the QR code or PDF online on your website, for example, so that disabled visitors can anticipate their visit to your buildings.

Deemply, basic features

At a glance on your dashboard, you’ll be able to see all the indicators that make sense in your day-to-day site management. All the data displayed is 100% customisable, so you can create an environment perfectly suited to your needs.

In your interactive calendar, you can view all the events on your sites. You can also move them around and create all the necessary elements in just a few clicks, without having to navigate through the tabs of your Deemply solution.

You can create as many sites as you need in your Deemply space. In this function, you can download the QR codes for your service providers and your sites, as well as all the summaries available.

By grouping all jobs together in this area, you can filter them according to the module concerned, the service provider or its status. The colour-coded filters make it easy to see which jobs require action on your part.

To keep track of all your equipment, we’ve created a dedicated function. By registering each item of equipment, you’ll be able to monitor the work carried out on each piece of equipment and make sure you never miss a check on your installations.

To enable you to have more serene exchanges with your service providers, we allow you to group them together in a single environment and make all your requests directly from your Deemply space without having to multiply exchanges by email or telephone. You can also manage all your contracts and set up alerts so that you don’t forget about renewals, for example.

All your facilities’ activities can be integrated into your Deemply solution. They will allow you to segment your interventions and filter the information to find the elements easily.

Don’t use multiple channels to communicate with your teams. Directly in your Deemply environment, you can create conversations with your employees. This secure location allows you to discuss the security of your buildings with people using the solution.
